  • We are WorkWith Studios, and are a “data controller” within the definition of the General Data Protection Regulations (“GDPR”). This means that we are responsible for deciding how we hold and use personal information about you. We are required under data protection legislation to notify you of the information contained in this Privacy Notice.

  • This Privacy Policy applies to your use of Our Site and Our Services. It does not extend to any websites that are linked to from Our Site (whether We provide those links or whether they are shared by other users). We have no control over how your data is collected, stored or used by other websites and We advise you to check the privacy policies of any such websites before providing any data to them.

    This Privacy Policy sets out how we use and protect any information that you give us when you interact with us, whether on our website, by using our services, participating in a focus group or entering into one of our competitions, or in some other way. It is important that you read this Privacy Policy, together with any other Privacy Policy we may provide on specific occasions when we are collecting or processing personal information about you, so that you are aware of how and why we are using such information.

    We may change this Policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. By continuing to provide us with your personal data, or continuing to use our Services, you continue to agree to our processing your personal data in accordance with this policy as amended from time to time. This version of our Policy is effective from 01/01/2025.

  • We take the protection of personal information very seriously. We will comply with data protection law as amended from time to time. This legislation says that the personal information we hold about you must be:

    • collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.

    • relevant to the purposes we have told you about and limited only to those purposes.

    • accurate and kept up to date.

    • kept only as long as necessary for the purposes we have told you about.

    • kept securely.

  • By submitting your personal data us, you

    • agree, acknowledge and understand the terms of this Privacy Policy;

    • agree that any information that you provide is accurate, complete and true to the best of your knowledge and understand that any deliberate omission or inaccurate statement could lead to us not being able to provide the services;

    • agree to our processing your personal data and application as detailed in this Privacy Policy so that we may provide you with our services, and for the administration of your account or any agreement that we have with you.

  • To facilitate the provision of our services, we collect and process information about individuals who interact with our Site, our Clients or individuals who are employees of our Clients, with our customers and/or our clients’ customers, with those who engage in our focus groups, questionnaire respondents and/or competition entrants. We also manage a social media presence on a range of platforms, where users may upload content. Users may share their own personal data on these social media sites or message boards, as set out below.

    Some data will be collected automatically by Our Site (for further details, please see our Cookies policy), other data will only be collected if you voluntarily submit it and consent to Us using it for the purposes set out in this Policy,for example, when signing up for an Account. Depending upon your use of Our Site, We may collect some or all of the following data:

    • Names

    • Email addresses

    • Geographical location

    • Gender

    • Age

    • Responses to our Questionnaire

    • IP addresses

    • web browser type and version (automatically collected)

    • operating system (automatically collected)

    • a list of URLs starting with a referring site, your activity on Our Site, and the site you exit to (automatically collected)

    • where you are a supplier, we may also collect business related personal information relating to your role with the supplier.

    If you don’t want us to process this information, please do not provide this to us.

    WorkWith Studios is a global agency, and we specifically operate in the United Kingdom, Europe and the European Economic Area and in the United States and Canada.

  • We will collect personal data from responses to questionnaires, competition entries, business /client contacts, online forms and direct queries. We do not buy contact lists (and will never sell personal data to a third party).

  • We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances:

    • where we need to perform the contract we have entered into with you;

    • where we need to comply with a legal obligation;

    • to maintain Mailing Lists;

    • where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

    • We may also use your personal information in the following situations, which are likely to be rare:

    • where we need to protect your interests (or someone else’s interests); or

    • where it is needed in the public interest (or for official purposes).

  • We will use your personal information primarily to allow us to perform our contract with you and to enable us to comply with legal obligations. In some cases, we may use your personal information to pursue legitimate interests of our own or those of third parties, provided your interests and fundamental rights do not override those interests. The situations in which we will process your personal information are listed below.

    • to provide you with our services or to engage with you in a research project or as your entry into one of our promoted competition;

    • administering the contract we have entered into with you;

    • internal record keeping.

    Some of the above grounds for processing will overlap and there may be several grounds which justify our use of your personal information. If you fail to provide certain information when requested, we may not be able to provide you with services.

    We will only use your personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal information for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

    Please note that we may process your personal information without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

    We do not envisage that any decisions will be taken about you using automated means, however we will notify you in writing if this position changes.

  • We do not envisage processing any special or sensitive data about you and will not ask you to provide it to us. However, if we are required to carry out our legal obligations, We do not need your consent in accordance with this Privacy Policy to carry out our legal obligations. In limited circumstances, we may approach you for your written consent to allow us to process certain particularly sensitive data. If we do so, we will provide you with full details of the information that we would like and the reason we need it, so that you can carefully consider whether you wish to consent. You should be aware that it is not a condition of your contract with us that you agree to any request for consent from us.

  • We will share your personal information with third parties such as our clients so that we may provide you with services or where required by law, where it is necessary to administer the working relationship with you or where we have another legitimate interest in doing so. We require third parties to respect the security of your data and to treat it in accordance with the law.

    Where you have participated in a research project and have provided us with personal data as part of that participation, we will not share your personal data with third parties as part of the outcomes of the focus group. The outcomes shall be anonymous and aggregated data which will not identify any individual unless you specifically consent in writing to the sharing of your personal information.

  • Users may contribute, upload or share content on Social Media maintained or moderated by us, either on our own behalf or on behalf of our clients.

    Individuals have ownership and control over their own personal data. While we encourage interaction and contributions, individuals should be aware that social media are not private or confidential spaces, and so some of their personal information will be public through users own posting. This is at individuals own risk and is not within our control and we can not protect individuals confidentiality in these circumstances. We recommend that individuals consider whether Direct Messaging is more appropriate in some circumstances rather than a Social Media post. We will not use personal information obtained from Social Media for direct marketing purposes, but we may use your data to contact you offline to respond to any issues or comments made on social media. We may also use social media for our own or for client case studies, but will anonymise personal information so that individuals are not identifiable.

  • Where personal information is provided by users in order to enter into a prize draw or competition, we will use the individuals data as set out in this policy. Entry into a Prize Draw or Competition is based on users agreeing to our terms and conditions for that competition/prize draw and our Privacy Policy. We will not use the data of “friends” who have been tagged in our social media pages or in a competition entry post unless those friends have themselves consented.

  • We may target banners and ads to you when you are on other websites and apps (including, where relevant, on behalf of clients and based on data provided by clients). We do this using a variety of digital marketing networks and ad exchanges, and we use a range of advertising technologies like web beacons, pixels, ad tags, cookies, and mobile identifiers, as well as email and platform specific services offered by some sites and social networks, (for example Meta’s Custom Audience service).

    The banners and ads you see will be based on information we hold about you, or your previous use of our Platforms (for example, your search history whilst using one of our websites or the content you view whilst on our Platforms) or on our banners or ads you have previously clicked on.

    We may also use services such as those provided by Klaviyo in order to contact you directly where we have an appropriate legal justification for doing so. Klaviyo and other such providers employ the use of cookies, unique identifiers, web beacons and similar tracking technologies to keep tabs on things like open rates and conversion rates.   • Our Services do not address anyone under the age of 13. We do not knowingly collect personal identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.

  • We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

    Third parties will only process your personal information on our instructions and where they have agreed to treat the information confidentially and to keep it secure.

    We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

    We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

  • We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. We will retain limited personal data on our candidate database for the purpose of providing you with additional recruitment services, unless you have asked us to remove you from our database.

    In some circumstances we may anonymise your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.

  • It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us. We might not be able to provide you with our services if you do not provide us with up to date information.

    Under certain circumstances, by law you have the right to:

    • request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.

    • request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.

    • request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).

    • object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes. You may request deletion of your personal data on mailing lists by contacting us or through https://www.klaviyo.com/uk.

    • request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

    • request the transfer of your personal information to another party.

    If you want to review, verify, correct or request erasure of your personal information, object to the processing of your personal data, or request that we transfer a copy of your personal information to another party, please contact us on admin@workwithstudios.com .

    You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

    We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

  • In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent, please contact us on admin@workwithstudios.com . Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so in law.

    While we prefer that you contact us first if you have any questions, you do have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues.
